WorkTrak Overview

WorkTrak is used by 1000's of small and medium sized contractors who set out to improve efficiency and increase profits. In 2001, True Systems released the first version of WorkTrak to a group of contractors who wanted an easy to use software application that would help them manage their contracting business.

WorkTrak is an easy to use integrated business system specific for Unit of Measure Type Contractors. It will significantly reduce the administrative overload of keeping track of all the paperwork associated with starting and completing a job or project.

WorkTrak allows the contractor to enter data one time to produce all necessary documents, track work orders, create invoices, adjust inventory and manage Accounts Receivable. In addition, standard management reports provide detail as it relates to sales, profits, customers, job costs, variances, warehouses and much more.

( Documents include the: Proposal, Work Order, Work Card, Load Sheet, and Invoice).

The view below shows the main Work Order screen. The Work Order drives all documentation from the Proposal to the Invoice . Phases of a job will relate to the same Work Order ID. The Start Date field is the starting point for fueling the Optional Scheduling Module. One time data entry for job processing is the key to reducing administrative labor from hours to just minutes.

Is the system easy to use? WorkTrak was designed so that you would not be jumping from screen to screen to get your work done. WorkTrak is extremely easy to use and is very powerful. WorkTrak and all its components are 100% related (relational database) so that you won't get out of sync and your data will remain clean. This integration makes it an easy application to learn. The integration aspect is extremely valuable in creating the domino effect of data for the production of the proposal through the Invoice. ( the example below exhibits the sequence of documents produced from one single screen).

 

How Flexible is WorkTrak? The answer to this common question is two-fold. WorkTrak allows the contractor to track the installation of any unit of measure material. This includes roofing, drywall, concrete, gutters, insulation, windows, etc. In addition, the system allows you to create "what if" scenarios for multiple purposes such as calculating margins, profits, labor burden, and commissions.

What is the Technology? The back office database is Microsoft Access and will support Oracle, SQL Server, or any OBDC compliant data base. Volume is easily handled for contractors with one branch and 30 invoices per month or for the business with multiple branches and 1000 invoices per month. WorkTrak is a Windows application and can be accessed over the Internet if desired.

How easy is it to locate information about a Customer, Work Order or Job? WorkTrak comes complete with a Query Feature that allows you to "search and find" information based on virtually any data field. The Query feature is a tremendous benefit to customers since it filters the exact information requested in seconds.

How do we get set-up on a system like WorkTrak? True Systems can handle the entire implementation, or it can be accomplished in a combined effort. Our database comes with usable data such as several popular suppliers and their materials all ready loaded. We work directly with our customers to ensure the implementation is quick and to everyone's satisfaction.
